The Receptionist and Administrative Assistant is a regular, full-time. This position will be responsible for enthusiastically greeting in-person guests to the Visalia office, routing phone calls, managing the daily administrative tasks, and providing clerical and program support across three offices. This position reports to the Administrative Associate and will also work closely with other staff, community partners, independent contractors, allies and vendors.

Responsibilities:
-be the first point of contact from the Visalia office for intake calls and forward messages to
appropriate staff. Will support via remote for other offices.
-draft, edit, and distribute internal staff communications.
-review and revise materials to verify accuracy and attention to detail.
-support with the recruitment/onboarding of new employees.
-support with accounts payable/receivable and month-end reporting procedures.
-assist with mail processing.
-scan, organize, and/or distribute documents as needed.
-maintain and manage paper and electronic records, accounting, and human resources while ensuring the confidentiality of sensitive information.
-assist with scheduling meetings, coordinating events, travel logistics and other needs as assigned.
Working hours: 9:00 AM - 5:35 PM
Skills:
-experience troubleshooting office equipment and software issues.
-experience with managing the facilities of an organization's offices to ensure they are operating smoothly via in-person and remote.
-familiar with using Expensify, Adobe, Bill.com and/or Paylocity

Qualifications:
-fluent in English and Spanish (written and oral)
-passion for business administration
-associates Degree in Business Administration or completion of some college-level courses in the Business Administration field
-one year minimum of administrative experience in an office environment.
-some AP/AR experience
-able to multitask a variety of tasks in a fast-paced environment
-communication, writing, time management, and organizing skills.
-ability to work in a fast-paced environment, be flexible and adapt to changing circumstances.
-computer skills including, at minimum: Microsoft Office and Google Apps
-event planning and logistics experience
-ability to keep sensitive information confidential.
-valid CA drivers license
