The person in this position will be assigned and held accountable for various plumbing administrative and dispatch functions. He or she must be very organized and have the ability to prioritize tasks in order to complete in a timely manner. Additionally, this person must be a self-starter and able to accomplish assigned tasks with minimal supervision; take initiative to find tasks to take care of, work on multiple tasks simultaneously and be able to meet assigned deadlines, sometimes under stressful conditions. Responsibilities:
Plumbing Administrative Assistant responsibilities may include but, are not limited to, maintaining schedule of meetings for plumbing manager; contacting vendors for invoices monthly to assist plumbing manager with billings if needed; typing various items such as purchase orders, change orders, and proposals; preparing submittal data for plumbing manager including assisting in preparing backflow paperwork, permits, mailing out preventative maintenance postcards; process plumbing inventory paperwork, preparing equipment release schedules and obtain lead times if necessary; assembling job book for filing purposes on projects; following up on all paperwork as required; maintaining RFI?s, Change Orders, Warranties, and Close Out Documents; assisting in bidding process as required and preparing and sending out billings as required. Other duties may include but not limited to answering the main phone line; maintaining plumbing inventory; maintaining the plumbing main schedules, calls, and appointments in Service Trade; processing plumbing invoices in Service Trade and/or ComputerEase, assisting plumbing techs with any requests and/or needs to fulfill their job duties, including setting up and releasing plumbing calls in Service Trade. Additional tasks will be assigned from time to time and this position will require flexibility in completing those assignments in a timely and efficient manner.

Qualifications:
An associate's degree from an accredited college concentrating in accounting/business or a minimum of 5 years hands-on experience in an accounting/office environment.
Proficiency in Microsoft Excel and Word.
Proficiency in operating various office machines, i.e. adding machine, calculator, copy machine and fax machine.
Experienced in dealing with people at all levels in a professional and courteous manner.
Excellent communication skills.
Well organized.
Works efficiently under stress.
Ability to handle customers and vendors in a tactful manner.
