We are seeking an experienced Administrative Assistant to support our client in Waterbury, VT. This candidate will be responsible for website maintenance, meeting preparation, meeting documentation, as well as other tasks by maintaining regular contact with the Project Administrator for coordination of and collaboration on office tasks.

Responsibilities:
- Perform routine updates and maintenance, including contact updates, posting new or revised documents and materials, post agendas and minutes from meetings
- Upload and update education and training information
- Post news releases
- Review website content for relevance and timeliness; suggest changes or updates to staff as needed
- Coordinate website content and updates with the Project Administrator
- Complete, submit, and follow up on forms for meetings: catering, room reservations, security information
- Arrange and set rooms up for large in-person meetings
- Work closely with the Assistant Director(s) and Project Administrator to ensure details and managed, meeting supplies are available, and meeting space is prepared
- Prepare and post online meeting agendas as needed
- Take, circulate, and post minutes from in-person meetings and from occasional meeting recordings
Working hours: 9:00 AM - 5:00 PM
Skills:
- Competency in Drupal website platform, or Wordpress
Education:
No Degree Required
Experience:
1-4 years
Qualifications:
- Proficiency with Adobe Acrobat, Office 365. Preference for strong PowerPoint, Word, Outlook, and Teams skills. Beneficial to have meeting, webinar, and strong scheduling experience
- Professional demeanor
- Strong standard English
- Appropriate sense of urgency and responsibility around deadlines, meeting arrangements, and follow up
- Organized, responsible, and good with time management
- Available 8-20 hours per week, depending on workload
- Good communication skills, especially remotely and in electronic communications
- Must be able to attend some in-person meetings (monthly), plus training, and large staff in-person meetings (3x/year)
