Responsibilities:
Greet and welcome clients and visitors in a professional and courteous manner.
Answer and direct incoming phone calls, taking accurate messages and ensuring timely delivery.
Manage and maintain attorneys' calendars, scheduling appointments and coordinating meetings.
Handle incoming and outgoing mail and correspondence, including email and faxes.
Prepare legal documents and correspondence, ensuring accuracy and adherence to formatting guidelines.
Maintain office organization and tidiness, ensuring a professional and welcoming environment.
Order and manage office supplies, ensuring adequate inventory and cost-effectiveness.
Provide administrative support to attorneys and paralegals, including filing, copying, and scanning documents.
Assist with client billing and invoicing, ensuring accuracy and timely processing.
Maintain confidentiality of client information and adhere to ethical guidelines.
Perform other duties as assigned.
Working hours: 8:00 AM - 5:00 PM
Skills:
Experience working in a legal or professional services environment.
Knowledge of legal terminology and procedures.
Proficiency in legal software and case management systems.
Experience with client billing and invoicing.
Education:
High School
Experience:
1-4 years
Qualifications:
High school diploma or equivalent.
Excellent communication and interpersonal skills, including phone etiquette and business writing.
Strong organizational and time management skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to maintain confidentiality and handle sensitive information with discretion.
