General Accounting Support:Review ACH payments and ensure all transactions are processed correctly.Document Management:Scan, upload, and organize accounting documents into the company?s electronic filing system.Ensure all financial documentation, including invoices, receipts, and statements, is properly filed and stored.Communication and Coordination:Manage communications with internal and external stakeholders, including payment reminders.Provide excellent customer service when responding to vendor inquiries.Maintain regular contact with truckers and insurance companies to obtain updated insurance certificates.Contact truckers and vendors to gather necessary documentation or information for accounting records.New Vendor Set upOversee the New Vendor Setup process, ensuring all necessary documentation (W-9, vendor contracts, Certificate of Insurance etc.) is completed accurately and timely.Enter new vendor information into the accounting system and maintain updated vendor records.Communicate with vendors to confirm the setup process and address any questions they may have.Insurance Management:Maintain and manage the company?s Vendor Expiring Insurance Spreadsheet, keeping track of insurance renewal dates and contact information.Contact truckers and insurance providers to obtain updated insurance certificates before expiration.Validate the insurance certificates for accuracy and compliance with company policies.Follow up on any missing or incomplete insurance documentation and ensure compliance with company standards.Mail Management:Open and sort incoming mail, directing financial documents to the appropriate department or individual.Process outgoing payments, including mailing checks or other necessary documentation.General Administrative Tasks:Support other accounting and administrative tasks as needed.Assist with special accounting projects and audits when required.

High school diploma or equivalent; Associate?s degree in Accounting or related field is a plus.Proven experience in an accounting support or administrative role is a plus.Proficient in Microsoft Office Suite (Excel, Word, Outlook) and accounting software.Strong attention to detail and ability to organize large amounts of data.Excellent communication skills, both written and verbal.Ability to work independently and prioritize tasks effectively.Familiarity with insurance certificate management and ACH payment processes is a plus.Ability to handle confidential information with discretion.
