The Office Administrator is usually the first voice our clients hear on the phone and the first face they see when they walk in the door. This person will need present a positive and professional image for the organization. The Office Administrator will need to be personable and able to help build client relationships. This person will often be the first to hear of major life events, new jobs, and retirement plans. When clients have questions, the Financial Advisor depends on the Office Administrator to be accessible and offer a timely response. Following are some of the responsibilities of this role: Answer incoming calls Make follow up phone calls to set and confirm appointments Place service calls to clients on occasion Update prospect and client data records Processes deposits, ACH transactions, etc. Organized person who is able to multitask and working with technology and people. Provides administrative support to ensure efficient office operations. Take messages and respond to inquiries in a timely fashion. Manage and maintain, schedules, appointments, and calendars, Maintains physical and digital filing systems. Works closely with other administrative staff and supports other colleagues as needed. Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations. Ensures that deadlines are met and adapts to changing priorities.
