Essential Duties and Responsibilities: Maintain department calendar of due dates of various reports and bus usage.Prepare various reports for the Director?s, senior managers, and board meetings.Provide billing for transportation requests.Reconcile estimates and invoice and make necessary adjustments and monitor payments.Make deposits to appropriate BTS accounts as received.Maintain check registers for DOT accounts.Monitor department budget to ensure adequate funds for requisitions and requests budget transfers where appropriate.Prepare invoices, work orders, requisitions and purchase order request for department director?s review and subsequent Ellucian Banner approval.Monitors and processes purchasing and accounts payable via the usage request, vendor requisition/purchase orders and appropriate departments.Maintain payroll records and time; prepare payroll for department staff and work-study students.Sets goals and deadline related to administrative operations,Prepare and review operational reports and schedules, ensuring accuracy and efficiency.Analyze internal processes, recommend, and implement procedural or policy changed for operational improvement. Serve as department?s budget manager.Act as web entry leave proxy for the department.Prepare necessary personnel action forms for the department.Develop systems and maintain filing for day to day, scans and archived documentation.Assist in activities related to dispatching, routing, and tracking of transportation vehicles when needed.Acquire, distribute, and store supplies.Maintain and monitor driver license credentials for department drivers.Maintain controlled access system, card activation and deactivation and coordinates with the department of public safety in assigning parking privileges.Performs other duties as assigned.
