Responsibilities:
Administrative Support: Manage daily operations and administrative functions for executives, including scheduling, travel arrangements, and correspondence management.
Calendar Management: Coordinate and maintain complex executive calendars, prioritizing meetings and ensuring efficient time management.
Communication: Serve as a point of contact between the executive team and internal/external stakeholders, handling all communication with professionalism and confidentiality.
Meeting Coordination: Prepare agendas, presentations, and materials for meetings. Take meeting minutes and follow up on action items as needed.
Travel Arrangements: Coordinate domestic and international travel, including flights, accommodations, and ground transportation, ensuring all logistics are handled seamlessly.
Document Preparation: Create, review, and edit reports, presentations, and other important documents with accuracy and attention to detail.
Expense Management: Track and manage executive expenses, including reconciliation of receipts and preparation of expense reports.
Project Coordination: Assist in the planning and execution of special projects and company initiatives, ensuring deadlines are met and details are managed.
Event Planning: Coordinate company events, off-site meetings, and executive team gatherings.
Office Management: Oversee office supplies, vendors, and general administrative duties as needed to support executive operations.
Working hours: 8:00 AM - 5:00 PM
Skills:
Proven experience as an Executive Assistant (minimum 3-5 years).
Strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience managing complex calendars and travel itineraries.
High level of discretion, professionalism, and the ability to handle confidential information.
Strong attention to detail and accuracy in all tasks.
Ability to work independently and take initiative, with a proactive approach to problem-solving.
Bachelor's degree or equivalent experience preferred.
