The Executive Assistant– The Executive Assistant is a highly organized and detail-focused professional responsible for supporting the Senior Vice President with administrative, operational, and strategic initiatives. This role requires a proactive, tech-savvy individual who can effectively manage multiple priorities across various departments. The ideal candidate will demonstrate excellent communication skills, discretion in handling confidential information, and the ability to execute a wide range of tasks with efficiency and professionalism.
Responsibilities:
- Executive & Operations Support
- Provide direct support to the SVP in business development and daily operations.
- Coordinate and assist with operations across four different entities within the corporation.
- Maintain General Ledger (GL) and Capital Expenditure (CapEx) budgets.
- Attend and contribute to bi-weekly update meetings for multiple departments.
- Marketing & Communications
- Assist with development of RFQs and RFPs, including data gathering and writing.
- Maintain and update employee resumes, headshots, and marketing collateral.
- Manage the marketing budget and assist with brochure creation, including the company guidebook.
- Facilitate website updates and coordinate client gift boxes.
- Organize participation in industry events, job fairs, and sponsorship opportunities.
- Maintain inventory of branded marketing items (hats, cups, pens, etc.).
- Fuel & Fleet Management
- Maintain and manage the Fuel System software and user access.
- Provide monthly fuel usage reports and input manual entries when necessary.
- Troubleshoot and resolve issues with fuel management customer service.
- Manage monthly billing for equipment and fleet vehicles.
- Project Management Assistance
- Write and prepare contracts with guidance from General Counsel.
- Create bid numbers and maintain prospective job entries in Cosential.
- Support monthly billing projections and generate time & material invoices.
- DOT Compliance
- Manage biennial updates – Motor Carrier Identification report and annual UCR filings for five companies.
- Ensure compliance with DOT requirements across five entities.
- Other Admin Duties and VDC
- Update financials and forecasting in internal systems.
- Support estimating and project billing processes for virtual design construction.
- Attend and support bi-weekly update meetings for both groups.
Requirements:
- Associate's degree in Business, Marketing, or a related field or Equivalent work experience.
- Strong proficiency in Microsoft Office Suite
- Excellent verbal, written, and interpersonal communication skills.
- Highly organized with strong attention to detail and time management.
- Ability to manage multiple priorities in a fast-paced environment.
- Proven ability to handle sensitive information with integrity and confidentiality.
- Self-starter with strong problem-solving skills and initiative.
Preferred Skills but not required – Nice to have:
- Adobe- End Design experience preferred
- Marketing background with emphasis on social media/website experience
