- Schedule: Monday-Friday, between 7:30 am and 5:00 pm
Responsibilities:
- Deliver exceptional customer service and respond to internal/external inquiries with professionalism.
- Manage guest check-in, meeting logistics, parking, and conference room setup.
- Coordinate supplies, mail/packages, and maintain inventory with cost-awareness.
- Triage communications (calls, emails, mail), ensuring timely and appropriate responses.
- Maintain administrative records including logs for visitors, parking, and security.
- Process invoices, reconcile purchasing card transactions, and manage memberships and subscriptions.
- Support onboarding/offboarding tasks and issue/deactivate security badges.
- Prepare materials (e.g., binders, meeting docs), assist with travel coordination, and troubleshoot office equipment.
- Assist with internal events, such as the annual silent auction and employee social club activities.
- Support room setups, including moving furniture and supplies (lift up to 40 lbs).
- Identify and implement process improvements to enhance administrative efficiency.
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent degree required; Associates or Bachelors degree preferred
- 5 years of experience in a professional office environment.
- Comfortable with physical tasks such as lifting/moving supplies and setting up meeting spaces.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).
- Strong written/verbal communication, organization, and time management skills.
- Detail-oriented, solutions-focused, and able to work independently and as part of a team
