The Accounts Payable Administrator will play a crucial role in supporting daily administrative, financial, and customer service functions within a fast-paced industrial environment. The ideal candidate will be comfortable handling administrative tasks, greeting visitors, assisting customers over the phone, and managing various financial responsibilities, including QuickBooks, data entry, and invoicing. A high level of proficiency in Excel, prior industrial office experience, and an outgoing personality are essential for success in this role.
Responsibilities:
Accounts Payable and Invoicing: Enter and track invoices, process payments, and assist in maintaining up-to-date records in QuickBooks.
Work Order Entry: Accurately enter work orders and track their progress from start to finish, coordinating with various teams to ensure timely updates and fulfillment.
Customer Service: Greet visitors upon arrival, provide prompt assistance over the phone, and ensure a positive customer experience.
Calendar Management: Coordinate schedules and appointments, assisting with scheduling meetings and ensuring availability of necessary resources.
Administrative Support: Assist with general office duties, including filing, managing office supplies, and preparing reports and documents.
Data Analysis and Reporting: Use Excel to track expenses, create spreadsheets, and generate reports to support financial analysis and other administrative needs.
Working hours: 8:00 AM - 5:00 PM

Experience in QuickBooks for handling accounts payable tasks, data entry, and invoice processing.

Attention to Detail to accurately enter data, maintain records, and complete administrative tasks.
Calendar Management skills to schedule appointments and coordinate meetings.
Previous experience working in an industrial office environment.
Multi-tasking Abilities to handle administrative, financial, and customer service responsibilities concurrently.
Familiarity with project coordination to support various teams and keep projects on schedule.
Proactive Communication Skills to facilitate effective communication between teams and clients, keeping them informed of project status.
