Accounting Administrative Assistant provides clerical assistance to an organization?s accounting department or team. Their role differs from General Administrative employees in that they also perform basic accounting functions. They must be able to perform general office duties, such as answering phone calls, greeting customers, etc. as well as performing higher-level functions, such as processing invoices, preparing deposits, and other accounting tasks as assigned.

This position is under the supervision of the Accounting & Human Resources Manager.
Responsibilities:
Using knowledge of Accounting Best Practices and General Office Administrative functions under the guidance of supervisor ? primary responsibilities include, but may not be limited to the following:
Accounting
Maintain Accounts Payable ? entering invoices, processing payments, maintaining vendor files.
Entering Journal Entries.
Payroll Processing ? Bi-weekly payroll processing via Netchex payroll provider; downloading & filing both paper and electronic copies of all applicable payroll reports.
Processing 401K.
Creating Purchase Orders.
Processing payments by check, wire, and ACH.
Maintenance and reconciliation of credit card accounts.
Process monthly bank reconciliations for company checking accounts.
Assist with Accounting tasks assigned (i.e., month-end closing, asset purchases, etc.).
Working in QuickBooks on-line and Microsoft Dynamics software.
Excellent skills with MS 365/Excel
General Office
Office Manager.
MISC ? Special projects as needed.
Maintain office supply stock; place orders as needed.
Maintain cleaning supply stock; place orders as needed.
Filing ? electronic and hard copies of various payroll and accounts payable records.
Assist with event planning & coordination where needed.
Processing shipments for the Lab.
Other Duties:
Possess a general knowledge of office policies & procedures as relates to this position. Strive to continue advancing in tasks assigned. Maintain open communication with supervisors regarding accounting procedures.
