- Ensure that all the client work is done as scheduled and in a timely manner- All client bank feeds are made on time, except when circumstances are beyond our control.- Develop and maintain client manuals detailing activities that are unique to the client (as needed)- Develop and maintain checklists of end of period tasks for each client- Discuss technical questions with the Operations Manager, or other bookkeepers where appropriate.- Keep the Operations Manager informed of any noteworthy information about clients and their work- Seek the assistance and guidance of the Operations Manager when working with difficult clients- Prepare client reporting in accordance with company procedure.- Stay up to date with all software updates relevant to your work, most notably QBO, Wave, or Xero and continue to maintain your certifications on an annual basis.- All client deadlines are met, such as payment of payroll, regular supplier payments and timely processing of transactions.- Jobs in Practice Management tool are not overdue.- The number of errors detected in your work by the Operations Manager are minimal and relate more to clerical errors than a lack of review of your own work, or the lack of seeking of assistance for more difficult transactions.- Timesheet entries are recorded in the Clockify system by noting what you are working on, the Client and associated task.- Where work is taken over from another bookkeeper that is on leave, that work is performed in roughly the same amount of time, with allowances made for lack of familiarity of the work in the short-term.- Bookkeepers that take over your client work while you are on vacation report that your checklists and manuals are accurate and detailed enough for them to perform the work without much difficulty.- Deliver five-star service to our clients from the moment you begin working with them until services are terminated.- Ensuring emails are sent to the Client Manager and Operations Manager when any issue arises while completing assigned Client work.- Practice Management tool is kept up to date with new client information that you become aware of, such as additional compliance requirements, new addresses, new contacts.- Read bookkeeping newsletters, read updates from software suppliers, participate in webinars.
1-4 years
- Three to five years' experience as a bookkeeper, using QBO, Xero, other cloud-based software. Certification as a bookkeeper and/or payroll specialist, and experience in rescue jobs and forensic bookkeeping highly regarded.- Interpersonal, written and verbal. Able to communicate strongly with the Operations Manager and team.- High level use of Word, Excel and email programs. - Confident using the internet and technology in general, including an aptitude for understanding integrated apps.- Proactive and open to learning new technology skills.- Able to work remotely (e.g. from home office) with own computer, internet and office supplies.- Self-motivated with excellent time management skills.
